POSITION TITLE: Financial Office Administrative Assistant (OAA)

REPORTS TO: Director of Federal Programs & Strategic Initiatives
TERMS OF EMPLOYMENT: A full contract for this position is 240 days, with benefits as specified in employee contract. Contract will be prorated based on the actual start date.

QUALIFICATIONS
- High school diploma or equivalent required
- Educational office training preferred
- Strong computer skills and proficiency in Microsoft Office (Word, Excel, and PowerPoint) and Google Suite (Docs, Sheets, Slides)
- Strong organizational and interpersonal skills
ESSENTIAL JOB FUNCTIONS
- Maintain and update financial records, including invoices, receipts, and expense reports.
- Organize and file financial documents in a systematic and easily retrievable manner.
- Verify data for accuracy and completeness, identifying discrepancies for correction.
- Provide general administrative support to the Parker Center administrative staff, including answering phone calls, managing emails, and scheduling appointments.
- Assist in the preparation of financial presentations, spreadsheets, and other documents.
- Handle routine correspondence and communication related to financial matters.
- Assist in the preparation and monitoring of departmental budgets.
- Help with budget planning and forecasting, as directed by the Finance Manager or Director.
- Assist in the procurement process by generating purchase orders and tracking orders.
- Maintain vendor relationships and ensure timely payment of invoices.
- Collaborate with auditors during financial audits, providing necessary documentation and information.
- Assist in addressing audit findings and implementing recommendations.
- Ensure compliance with district policies and state regulations.
- Collaborate with other departmental staff to streamline processes and improve overall financial operations.
- Monitor assigned fund accounts, including providing detailed reports as requested by program administrators.
- Work closely with the Federal Funds Financial Coordinator to maintain accurate budgets and record keeping.
- Work with administrators and content area coordinators.
- Attend meetings/training as required by administration.
- May be required to work additional hours as directed.
- Maintains prompt and regular attendance.
- Supervise students during the assigned working day, if needed.
- Demonstrates the ability to maintain positive professional working relationships with others.
- Maintain confidentiality.
- Present and communicate in a professional manner.
- Maintain emotional control under stress.
- Other duties as assigned by administration.

- Must have the ability to lift at least 40 pounds occasionally.
